Job Summary

The Executive Assistant provides high-level administrative, coordination and operational support to the Managing Director and senior management. The role ensures smooth daily operations, effective communication, proper documentation of real estate transactions, and efficient coordination of meetings, property inspections and business engagements.

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the Managing Director and senior executives.
  • Manage daily schedules, appointments, meetings and travel arrangements.
  • Draft, edit and manage official correspondence, reports and presentations.
  • Handle confidential information and sensitive business matters professionally.
  • Assist in coordinating property inspections, site visits and client meetings.
  • Track ongoing property transactions, allocations, sales and lease processes.
  • Support documentation processes such as:
  • offer letters
  • allocation letters
  • contracts of sale / lease documents
  • client files and property records.
  • Liaise with marketing staff, agents, surveyors, lawyers and contractors when required.
  • Act as a key point of contact between the executive office, clients, partners and staff.
  • Screen and respond to calls, emails and official enquiries on behalf of management.
  • Follow up with clients and internal teams on assigned actions and deadlines.
  • Support management meetings by preparing agendas, taking minutes and tracking action points.
  • Assist in monitoring projects, site development activities and operational deliverables.
  • Support internal coordination between departments (marketing, operations, accounts and legal).
  • Maintain organized digital and physical filing systems for properties, clients, and contracts
  • approvals and regulatory documents.
  • Prepare weekly and monthly management reports where required.
  • Ensure proper documentation and easy retrieval of records.
  • Assist in ensuring internal procedures comply with company policies and regulatory requirements.
  • Support basic administrative compliance relating to property documentation and approvals.

Requirements

  • Minimum of B.Sc. / HND ( M.Sc. in Business Administration, Management, Estate Management or related field is an added advantage).
  • Minimum of 2–4 years’ experience as an Executive Assistant, Personal Assistant or Senior Administrative Officer (experience in a real estate firm is an advantage).
  • Strong computer skills (Microsoft Word, Excel, PowerPoint and email).
  • Good understanding of office administration and basic real estate operations.
