ThriveHire is a comprehensive applicant management system designed to streamline your hiring process. This guide will walk you through all the features and functions available to help you efficiently manage job applicants, evaluate candidates, and make informed hiring decisions.

Whether you're reviewing applications, conducting assessments, or communicating with candidates, this guide covers everything you need to know to maximize your use of ThriveHire.

1. Search & Filter Applicants

Search Functionality

Use the search bar at the top of the applicants table to quickly find applicants by name or email address. Simply type any part of the applicant's name or email, and the table will automatically filter to show matching results. The search is case-insensitive and works in real-time as you type.

Status Filtering

Click the "Filter" button to view applicants by their current status:

  • Show All: Displays all applicants regardless of status
  • New: Recently submitted applications that haven't been reviewed
  • Reviewing: Applications currently under evaluation
  • Shortlisted: Candidates who have passed initial screening
  • Interview: Applicants scheduled for interviews
  • Hired: Successfully hired candidates
  • Rejected: Applications that did not meet requirements

Sorting Options

Use the "Sort" dropdown to organize applicants by:

  • ATS Score: Sort by CV match score (high to low or low to high)
  • Test Score: Sort by assessment test results
  • Name: Alphabetical sorting (A-Z or Z-A)
  • Date: Sort by application date (newest or oldest first)
  • Default Order: Return to original listing order

2. Viewing Applicant Profiles

Quick Profile View

Click on any applicant row in the table to open their complete profile in a modal. The profile displays:

  • Personal information (name, email, phone number)
  • Education details (qualifications, university, graduation year)
  • Application details (status, applied date, availability, salary expectations)
  • Skills with years of experience
  • Documents (CV/Resume, Cover Letter)
  • Custom answers to job-specific questions
  • Additional documents uploaded by the applicant

ATS Score Badge

The purple badge on the "View" button shows the applicant's CV ATS (Applicant Tracking System) score. This score indicates how well the candidate's CV matches your job requirements. Higher scores (70%+) suggest a strong match, while lower scores may indicate gaps in qualifications or experience.

Test Score Badge

The teal badge on the "Test" button displays the applicant's best test score if they have completed any assessments. This helps you quickly identify top performers in your evaluation process.

3. Detailed Review Modal

Opening the Review Modal

Click the "View" button (eye icon) on any applicant row to open the comprehensive review modal. This modal provides detailed information and tools for evaluating candidates.

  • Complete Profile: View all applicant information in one place
  • Education Section: See qualifications, university, and graduation details
  • Application Details: Current status, applied date, availability, and salary expectations
  • Documents: Access CV/Resume and Cover Letter with download options
  • Skills Display: View all skills with years of experience
  • Custom Questions: Read applicant responses to job-specific questions
  • Additional Documents: Access any extra files uploaded by the applicant

4. CV ATS Score Analysis

What is ATS Score?

The ATS (Applicant Tracking System) score is an AI-powered analysis that evaluates how well an applicant's CV matches your job requirements. It analyzes keywords, skills, experience levels, qualifications, and other relevant factors to provide a percentage score.

Calculating ATS Score

In the review modal, click "Calculate CV ATS Score" to generate a detailed analysis. The system will:

  • Compare the CV against your job description
  • Identify matching keywords and skills
  • Evaluate experience levels and qualifications
  • Generate a percentage score (0-100%)
  • Provide detailed recommendations

Viewing ATS Recommendations

After calculating the score, click "View ATS recommendation" to see:

  • Strengths: What the candidate does well
  • Key Concerns/Gaps: Missing qualifications or experience
  • Interview Recommendation: Whether to proceed with an interview
  • Detailed Analysis: Breakdown of how the CV matches each requirement

Bulk ATS Scoring

Select multiple applicants using checkboxes, then click the "Score" button in the bulk actions bar. The system will calculate ATS scores for all selected applicants sequentially, showing progress and estimated time remaining. This saves time when evaluating many candidates at once.

5. ATS Chat Assistant

What is ATS Chat?

ATS Chat is an AI-powered assistant that provides intelligent insights about applicants. It analyzes the applicant's complete profile and answers questions to help you make informed hiring decisions.

Using ATS Chat

Click the "Chat" button (green chat icon) on any applicant row to open the chat interface. You can ask questions like:

  • "Why should I hire this candidate?"
  • "What are their main strengths?"
  • "What are potential concerns about this applicant?"
  • "How does their experience match the job requirements?"
  • "What questions should I ask in an interview?"

Chat Features

  • Real-time AI analysis of applicant profiles
  • Contextual responses based on CV, skills, and experience
  • Unread message notifications (red badge with count)
  • Conversation history for each applicant
  • Quick access from the applicants table

6. Sending Test Invitations

Single Test Invitation

Click the "Test" button (purple clipboard icon) on any applicant row to send a test invitation. You'll be redirected to the Test Manager where you can:

  • Select from existing tests
  • Create a new custom test
  • Generate tests from Thrive Test Exams (Watson Glaser, SJT, GMAT, LNAT, Psychometric)
  • Adopt (copy) tests from other applicants

Bulk Test Invitations

Select multiple applicants using checkboxes, then click "Test" in the bulk actions bar at the bottom. This allows you to send the same test to multiple candidates simultaneously, saving significant time during the screening process.

Test Types Available

  • Custom Tests: Create your own questions (multiple choice or theory)
  • Thrive Test Exams: Auto-generated tests from question banks
  • Adopted Tests: Copy and customize tests from other jobs

7. Scheduling Interviews

Sending Interview Invitations

Click the "Interview" button in the review modal to schedule and send interview invitations. You'll need to provide:

  • Date & Time: When the interview will take place
  • Interview Type: Online (Video Call), In Person, or Phone Call
  • Location/Meeting Link: Physical address or video call URL
  • Notes: Additional instructions or information for the candidate

Interview Notifications

Once scheduled, applicants receive:

  • Email notification with interview details
  • TR Notifications system alert
  • All interview information in a clear format

The interview badge (purple calendar icon) appears on applicant rows with scheduled interviews, making them easy to identify.

8. Updating Applicant Status

Status Options

In the review modal, you can update an applicant's status using the action buttons:

  • Shortlist: Mark promising candidates for further consideration. This notifies the applicant that they've been shortlisted.
  • Review: Change status to "Reviewing" to indicate active evaluation. This sends a notification to the applicant.
  • Reject: Decline applications that don't meet requirements. Applicants are notified of this decision.
  • Hire: Mark successful candidates as hired. This completes the hiring process for that applicant.

Bulk Status Updates

Select multiple applicants using checkboxes, then use the bulk action buttons:

  • Shortlist: Shortlist all selected candidates at once
  • Review: Mark all selected as "Reviewing"
  • Reject: Reject all selected applications
  • Delete: Permanently remove applications (use with caution)

Bulk actions save time when managing many applicants, but always review selections carefully before confirming.

9. Bulk Actions Overview

Selecting Applicants

Use the checkboxes in the first column to select applicants. You can:

  • Select individual applicants by clicking their checkbox
  • Select all visible applicants using the header checkbox
  • See the count of selected applicants in the bulk actions bar

When applicants are selected, a fixed bar appears at the bottom of the screen with these options:

  • Test: Send test invitations to all selected applicants
  • Score: Calculate ATS scores for all selected CVs
  • Shortlist: Update status to "Shortlisted" for all selected
  • Review: Update status to "Reviewing" for all selected
  • Reject: Reject all selected applications
  • Delete: Permanently delete all selected applications
  • Cancel (X): Clear all selections

10. Accessing Documents

Viewing Documents

In both the profile modal and review modal, you can access applicant documents:

  • View Resume/CV: Click to download and view the applicant's resume
  • View Cover Letter: Access the applicant's cover letter
  • Additional Documents: View any extra files uploaded by the applicant

All documents are securely stored and accessible throughout the hiring process.

11. Statistics Dashboard

Overview Cards

At the top of the page, you'll see statistics cards showing:

  • Total: Total number of applicants for this job
  • New: Unreviewed applications
  • In Review: Applications currently being evaluated
  • Shortlisted: Candidates who passed initial screening
  • Rejected: Declined applications
  • Interviews: Number of scheduled interviews
  • Hired: Successfully hired candidates

These cards provide a quick overview of your hiring pipeline and help you track progress at a glance.

12. Tips & Best Practices

Efficient Workflow

  • Use ATS scores to quickly identify top candidates (70%+ scores)
  • Review test scores to assess technical skills before interviews
  • Use bulk actions for initial screening to save time
  • Schedule interviews directly from the review modal
  • Use the ATS Chat to get quick insights on candidates
  • Keep statuses updated to maintain accurate pipeline tracking

Communication

  • Use the Chat feature to communicate directly with applicants
  • Status updates automatically notify applicants
  • Interview invitations include all necessary details
  • Test invitations are sent via email and notifications
