Job Summary

  • The Executive Assistant will serve as a strategic thought partner and operational backbone to the Managing Director, providing executive, administrative, and legal support.
  • This role requires a high level of discretion, business acumen, legal insight, and emotional intelligence to manage sensitive information and facilitate strategic execution within a dynamic, fast-paced experiential marketing environment.

Key Responsibilities

  • Executive & Strategic Support:
    • Partner with the Managing Director to drive strategic initiatives, track deliverables, and ensure alignment with business goals.
    • Prepare high-quality reports, briefs, and business presentations for internal and external stakeholders.
    • Support in decision-making processes by conducting research, analyzing data, and summarizing key insights.
    • Manage the MD’s calendar, priorities, and engagements, ensuring optimal time management and preparation for meetings.
    • Coordinate leadership and ExCo meetings, ensuring follow-up on key action items.
  • Legal & Compliance Support:
    • Review, draft, and manage basic legal and commercial documents including vendor agreements, NDAs, MoUs, and contracts.
    • Liaise with external counsel and relevant government agencies on compliance and regulatory matters.
    • Ensure contract compliance and maintain accurate documentation and filing systems.
    • Provide legal risk assessment and advise on operational decisions in collaboration with the MD.
  • Business Operations & Coordination:
    • Act as liaison between the MD and key internal/external stakeholders.
    • Manage and oversee projects or special assignments on behalf of the MD.
    • Support the implementation of performance dashboards, KPIs, and business metrics.
    • Handle confidential information with integrity and discretion.
  • Communication & Representation:
    • Draft correspondence, press statements, and communication on behalf of the MD when required.
    • Represent the MD in meetings and follow through on assigned action points.
    • Support in stakeholder engagement, event coordination, and business development activities.

Requirements

Qualifications & Experience:

  • Bachelor’s Degree in Law (LL.B); BL certification is required.
  • 3 – 5years’ experience as an Executive Assistant, Legal Officer, or similar strategic role.
  • Experience working with senior leadership or within the marketing, media, or creative industry is an advantage.
  • Proven ability to combine strategic insight with operational excellence.
  • Proficiency in Microsoft Office Suite, Google Workspace, and modern collaboration tools (Notion, Asana, Trello).
  • Key Competencies:
    • Strong strategic thinking and organizational ability.
    • Excellent legal drafting and contract management skills.
    • Exceptional written and verbal communication abilities.
    • High level of discretion, professionalism, and integrity.
    • Ability to manage multiple priorities in a fast-paced, creative environment.
